The Brief
The client was seeking a venue location that would help bring their ambitious Summer Party vision to life. Their goal was to host a ‘high-end English Summer Garden Party’ in an inner London location. The client’s brief included added requirements centring around sourcing a dry hire space for 300 guests that would allow them to bring in their longtime preferred caterer partner (delivering multiple offerings including open-fire cooking) as well as a dedicated cocktail bar supplier and a raft of branding opportunities.


In addition, the client required event support with AV, styling, and entertainment so as to create a standout guest experience. Utlising our longstanding relationships, we were able to secure the preferred date at Gray’s Inn Marquee, a beautiful summer venue offering both indoor and outdoor options – ideal for a relaxed and versatile event format. From the outset, we managed the full pre-event planning process, including ideation, event timeline creation, supplier coordination, and detailed event planning.
This ensured all elements were aligned well in advance; from the delegate journey and the event flow, to the underpinning venue, catering and entertainer supplier logistics. Resulting in smooth and successful event delivery onsite.
Delivery
To bring the client’s vision to life, we wove together a variety of creative and immersive elements to form the backdrop for the ideal summer celebration.
Features included ‘Insta ready’ floral décor photo ops, multiple enticing activation engagements as well as custom-built branded structures such as the striking three-tiered branded ‘cornucopia bar’ and branded welcome zone.


Entertainment was thoughtfully curated, with indoor and outdoor options as well as two acoustic bands, a variety of traditional lawn games and a roaming paper caricaturist combining to create a relaxing and engaging environment in keeping with the overarching event aesthetic.



Interactive dining experiences were a standout feature, with multiple ‘live-cook’ and open fire food stations supplemented by a stunning vintage pizza van, a branded interactive ice cream offering and a truly unique take away gift beautifully packed by our team in branded tote bags to provide the perfect finishing touch. We ensured that the photography and videography teams were in the right place at the right time throughout to ensure that the memories live long beyond the day.


Results
The event was a resounding success. Our team worked seamlessly alongside the client’s internal events team (within a tight setup window) to bring together an unforgettable guest experience.
Thanks to careful scheduling, clear communication and precise onsite co-ordination every detail came together exactly as planned.
A standout moment came when the leading partners made a point of publicly praising the events team for their professionalism and attention to detail, expressing how impressed they were with the scale of the event and the high standards delivered across the experience.
